Quality Assurance Specialist

Essential Duties

  • Conducts periodic internal audits of client case records with a focus on documentation compliance including meeting timelines, accuracy and quality. Internal audits include various program funding sources, administrative and treatment documentation, and other compliance areas.
  • Coordinates all QA review processes (Peer Review and Utilization Review processes) to ensure compliance with DMH, PHC, COA, and other regulatory agencies; compiles and reports the outcomes of data to Programs within a timely manner.
  • Analyzes audit findings and potential risks for contracts; identifies trends and makes effective system recommendations where appropriate to Program Directors, Supervisors, and Providers.
  • Develops, organizes, and implements quality training of staff in the Electronic Health Record (Welligent) and documentation requirements.
  • Oversees organization of records for external site visits, reviews, and audits; reviews and corrects audit instruments; and prepares audit reports as needed. Integrates the findings of external review processes, including licensing reviews, information related to compliance with federal, state, and department requirements, governmental audits, accreditation, and other reviews into the agency's Continuous Quality Improvement (CQI) process, where appropriate.
  • Participates in county and Service Area Quality Improvement Committee (QIC) meetings sponsored by DMH; informs appropriate Agency personnel regarding updates and issues.
  • Makes regular visits to all program sites to observe activities for quality assurance purposes; interfaces with program staff about quality assurance issues.
  • Recommends and assists in writing policies and procedures to facilitate communication and adequate information flow to improve quality assurance and compliance issues.
  • Perform detailed and accurate data entry into internal and external systems as well as maintain spreadsheets and other databases for statistical analysis of agency compliance data.
  • Maintains working knowledge of contracts, program standards and policies as developed by Five Acres, Community Care Licensing and other governing bodies; develops personal and professional knowledge by attending educational workshops, reviewing professional publications, establishing personal networks, benchmarking state-of-the art practices, and participating in in-service programs.
  • Researches information for compliance with local, state, and federal regulations as needed and directed.
  • Distributes and maintains clinical equipment for providers (e.g. lockboxes, field binders).
  • Attends and actively participates in all team and staff meetings.

Qualifications

  • High school diploma.
  • Knowledge of Department of Mental Health documentation requirements, preferred.
  • Prior experience in a mental health environment preferred.
  • Strong computer skills utilizing Microsoft Office; knowledge of comprehensive and complex databases.
  • Ability to be detail-oriented, follow-up on concerns, and understand systems which help ensure quality of service and accurate record keeping.
  • Effective communication skills both oral and written, including public speaking.
  • Critical thinking and problem-solving skills to analyze complex situations and recommend efficient solutions.
  • Ability to effectively prioritize tasks to meet daily workload requirements and manage multiple projects and deadlines.
  • Training skills to provide support to others in accurately completing documentation.
  • Computer skills sufficient to meet production demands of the job including Microsoft Office and Welligent EHR software.
  • Must have a valid California Driver License, proof of automobile insurance, and meet the Agency's safe driver guidelines.
  • Ability to maintain First Aid/CPR Certification.
  • Sensitivity to the different cultures represented among the clients, families and staff.

Compensation Range: $24.90/hr - $41.46/hr
