Clinical Administrative Specialist

Essential Duties 

  1. Leads and is responsible for managing DMH, PHC and MCP site certifications and ensures that the agency remains accredited at all provider numbers by liaising between various departments and programs within the agency and contractor (DMH, MCP, or PHC group).
  2. Leads and is responsible for coordinating the MHPA process for each STRTP and liaises between DHCS, and agency team.
  3. Monitors and analyses referral and active client information and trends within the agency's electronic health record (call center and Welligent) via web calls to DMH and/or agency report server (Active client report, Call Center Waitlisted referral data report, Authorizations report).
  4. Monitors and maintains all of the contractor (DMH or MCP/PHC) tracking systems that are required by each contract, (such as DMH Heat System, NAPPA, NOABD, SRTS, Provider Connect, CSI, COP). Coordinates with contractor and electronic health record (Welligent) team to ensure information is compliant with contractor's specifications and timeframes.
  5. Communicates with potential clients and their families, DMH, Managed Care Plans and other agencies regarding program information and/or client surveys.
  6. Creates training plans, resource guides and performs trainings to program staff to ensure programs are compliant with DMH contracts. (Welligent Call Center, Client and Service Information, Service Request Tracking System, Safety Intelligence, Request to Change Provider, and Notice of Action).
  7. Plans, organizes and is involved in special projects relative to department needs; follows up with others to ensure the project is completed as scheduled, (such as COA Accreditation, QA Audits, QA CPS, COO Agency/Departmental trainings).
  8. Coordinates and works with program and support staff to track and archive discharged charts for storage of records and maintains those records with external record storage company (Corodata).
  9. Prepares records for Subpoena or Release of Information requests: collaborates with program staff to obtain and ensure complete and accurate records prior to release. Ensures HIPAA guidelines are maintained.

Qualifications 

  • Bachelor's degree preferred but not required, plus four (4) years' experience, or Associates degree plus six (6) years' experience, working in a behavioral mental health/social services setting.
  • Effective communication skills both oral and written; bi-lingual skills in Spanish/English are preferred.
  • Ability to be flexible and work in a changing environment.
  • Computer skills sufficient to meet production demands of the job including Microsoft Office and WELLIGENT software for program notes; and skill in maintaining accurate, detailed and complete records in a mental health environment.
  • Some work experience in social services.
  • Ability to work varied hours including evenings, nights and weekends
  • Must have a valid California Driver License, proof of automobile insurance and meet the Agency's safe driver guidelines.
  • Sensitivity to the different cultures represented among the clients, partners and staff
  • Ability to maintain First Aid/CPR Certification

Compensation Range: $22.50/hr - $30.98/hr
