Training Administrative Specialist *


Full-time (40-hours/week) position under the general direction of the Training Manager. Responsible for performing a variety of administrative duties in support of the day-to-day operations of the Agency's Training Department. Plan, organize, and coordinate a wide variety of training activities. Manage training information systems to process training requests, enroll, track, and monitor staff training and accountability measures. Coordinate Agency's staff training and resolve problems that have a significant impact on the overall goals of the Training Department.

Position responsibilities include, but are not limited to:

  • Maintain the Training Department's information systems, including Relias, CIV, CANS Training Site, department shared drive, training department website, Help Desk, and StaffTrak
  • Maintain and organize all documentation related to training attendance for all agency employees
  • Provide general administrative support to the Training Department
  • Maintain and track Pro-ACT Instructor related documentation, schedules, recertification, and expenses
  • Maintain and track CPR/First Aid Instructor related documentation, training material, schedules, recertification, and expenses
  • Maintain Training Department budget worksheet and track training expenses
  • Provide customer service when corresponding with any agency employees or external customers and stakeholders.
  • Prepare a wide variety of routine and complex correspondence, including, but not limited to, forms, reports and similar items using project management, Microsoft Office applications, and other software applications
  • Coordinate maintenance, repair or replacement of office equipment including computers, telephone systems, copiers, fax machines, media equipment, and other types of office equipment
  • Sort and distribute incoming department mail; prepare outgoing mail, including internal office mail, external mail, overnight services, delivery services and registered mail

Position requirements include, but are not limited to:

  • High School Diploma
  • Ability to coordinate projects, solve problems, and make solid business recommendations
  • Demonstrated excellent organizational skills and the ability to work with minimal supervision; plus the ability to work on several projects simultaneously
  • Basic math skills sufficient to monitor routine budgets, calculate/balance invoices, time sheets and similar
  • Ability to work effectively as a team player
  • Ability to be flexible and work in a changing environment
  • Sensitivity to the different cultures represented among members and staff
  • Computer skills in Microsoft Office programs (Word, Excel, etc.)
  • Effective verbal and written communication skills
